Companies can choose to use the Locations view.
If a company decides not to use the Locations view, the company has a legal location address.
If a company uses the Locations view, the first time a location is added, the fields pre-populate with the company's legal address pulled from the Summary view.
For companies with multiple physical locations, the Locations view displays the address locations of a company. After the location functionality is used, the locations cannot be deleted and one location will always exist for the company. The user can add, edit, or end date a location.

When the first location is added for a company, the system creates the initial location using the legal address and creates that as the default for all existing employees.
If the company does not have organization units, all workers (regardless of their status) are assigned to this initial location.
If the company does have organization units, all organization units and the assigned workers are associated to this initial location.
The screen defaults the:
initial location address to the company's legal address.
Name field to the main location.
Start Date field to the system date.
Click Company in the top right corner of the screen.
Click Locations in the Views listing.
Click the add button next to Locations in the toolbar. The Locations screen displays.

Enter the name of the location in the Name field.
In the Start Date field, enter a date or use the calendar icon to select a start date.
Enter either a street address or a P.O. Box number.
Enter the street address and number in the Address and Address 2 fields.

If using an existing physical location that was previously saved, click Select an existing address. |
Navigate to the address to re-use.
Select the radio button for the applicable address.
Click OK.
Enter the P.O. Box number in the PO Box field.
Enter the city in the City field.
Select the state from the State drop-down menu.
Enter the zip code in the Zip field.
Select the country from the Country drop-down menu.
Click:
Save to save the record.
Back to navigate back to the Locations grid view. The changes display but are not saved.
Save & Next to save the changes and move to the next location within the grid.
Click Company in the top right corner of the screen.
Click Locations in the Views listing.
Click the edit button for the location to edit. The Locations screen displays.
Edit the applicable fields.
Click:
SAVE to save the record.
BACK to navigate back to the Locations grid view. The changes display but are not saved.
SAVE & NEXT to save the changes and move to the next location within the grid.
Deleting a location is the same as end dating a location. A user cannot completely delete a location from the Locations view unless Cancel is selected during the initial setup. When a location is end dated it is possible to remove the end date at a later time to reactivate the location.
Click Company in the top right corner of the screen.
Click Locations in the Views listing.
Complete one of the following:
Enter an End Date for a Location:
Click the edit button for the location to end date. The Edit Location Information screen displays.
Type a date or use the calendar icon to select a date in the End Date field.

After an item is end dated, you cannot make changes unless a date on or after the current date is entered. |
Click:
SAVE to save the record.
BACK to navigate back to the Locations grid view. The changes display but are not saved.
SAVE & NEXT to save the changes and move to the next location within the grid.

To make changes to an item that was previously end dated, the End Date field must be changed to be on or after the current date. |
Delete a Location:
Click the delete button to delete a location.
When prompted, click YES. This automatically assigns an end date of yesterday. To view the deleted location, refer to the Advanced Filter procedures to View Past Items.
Associations is a concept used to link items together to organize a company’s structure for worker assignments. Associations can be made between organization units, locations, positions and workers.

A user can create a location that is not associated to an organization unit. A user cannot create an organization unit that is not associated with a location. |
