Personal

The Personal tab displays personal employee information. Employees with edit access can modify the following information: postal address, email address. and phone numbers. To enter or modify personal information, click Edit for the appropriate section. Employees are restricted from changing their state due to potential tax implications. Changes with state or local tax implications must be reported to Paychex through your Paychex representative. Once you are done entering information, click Save.

Contact your Paychex representative to modify personal information other than the information listed above.

Time Off

The Time Off tab displays accrual rate and current balance for any policies maintained. This category only displays if your company subscribes to Time Off Accrual.

Bank Accounts

The Bank Accounts category screen allows you to add, edit, and delete direct deposit accounts if you have edit access.

Add or Edit

Delete

  1. Click Delete. A pop-up screen displays.

  2. Click Yes, then click Save.

Social Security Numbers

Social Security numbers are partially masked to protect your personal information.

 

Payroll Information

Check Stubs

Check Stubs are available to view and/or download in PDF format provided that access has been granted by your employer's payroll administrator. If you choose to save the individual PDF documents within a zip file, you are prompted to Open or Save the file. Clicking Open allows you to then select your documents individually for viewing. Clicking Save allows you to save the zip file to your PC.

Check stubs are only available starting with the first check date after you are enrolled with the Employee Access Online service. Each check stub is available for two years.

W-2 and 1099-MISC

W-2 statements and 1099-MISC forms are available to view and/or download in PDF format provided that access has been granted by your employer's payroll administrator. If you choose to save the individual PDF documents within a zip file, you are prompted to Open or Save the file. Clicking Open allows you to select your documents individually for viewing. Clicking Save allows you to save the zip file to your PC.

W-2 statements and 1099-MISC forms can be accessed for up to four years.

Taxes

The Taxes category allows you to view tax filing status information entered from your agency filing forms. This information is used to perform payroll tax calculations and populates some of the tax forms Paychex provides. You must complete new agency filing forms, as applicable, then submit them to your employer to make changes to your filing status.

 

Federal Tax

Filing:

Independent Contractors: This indicates if an independent contractor is required to withhold.

Allow: The total number of allowances entered on Line 5 of your W-4 form on file with your employer.

Add Amt: Any additional flat dollar amount you asked your employer to deduct above and beyond your marital status and exemptions tax calculation.

Ovr Amt: Any override flat dollar amount you asked your employer to deduct instead of your marital status and exemptions tax calculation.

Ovr %: Any override percentage you asked your employer to deduct instead of your marital status and exemptions tax calculation.

Tax Rate: The rate that displays reflects the current withholding percentage. The rate is not applicable if an Independent Contractor is not required to withhold federal backup withholding.

Exempt: Indicates if you are legally considered exempt from federal tax withholding based on your employment status; most workers are not truly exempt from withholding, except for some specialized categories of employment.

Social Security Exempt: Indicates if you are legally considered exempt from Social Security tax withholding based on your employment status; most workers are not truly exempt from withholding, except for some specialized categories of employment.

Medicare Exempt:  Indicates if you are legally considered exempt from Medicare tax withholding based on your employment status; most workers are not truly exempt from withholding, except for some specialized categories of employment.

State Unemployment

State Abbreviation/SUI: Displays the state to which your employer pays unemployment insurance on your behalf.

Exempt: Indicates if you are legally considered exempt from state unemployment insurance based on your employment status. Most workers are not truly exempt from this tax, except for some specialized categories of employment.

State Abbreviation/DBL: Displays the state to which your employer pays disability insurance on your behalf. All states do not require disability insurance.

Exempt: Indicates if you are legally considered exempt from state disability insurance based on your employment status. Most workers are not truly exempt from this tax, except for some specialized categories of employment.

State Taxes

State: Displays the state or states for which you are subject to withholding tax.

% Worked: Indicates a percentage if your wages are allocated to more than one state for income tax purposes.

Residency: Indicates your status as a resident or non-resident of the withholding tax state.

Filing Status: The status selected on the state-specific withholding form on file with your employer. Status may not apply to the tax calculation in all states.

Allow: The total number of allowances entered on the state-specific withholding form on file with your employer. Allowances may not apply to the tax calculation in all states.

Add Amt: Any additional flat dollar amount you requested your employer to deduct above and beyond your marital status/exemptions or other tax table tax calculation.

Ovr Amt: Any override flat dollar amount you requested your employer to deduct instead of your marital status/exemptions or other tax table tax calculation.

Ovr %: Any override percentage you requested your employer to deduct instead of your marital status/exemptions or other tax table tax calculation.

Local Taxes

Local: Displays the name of the local tax jurisdiction(s) for which you are subject to withholding tax.

Residency: Indicates the tax type for the applicable local. This may vary by jurisdiction.

% Worked: Indicates a percentage if your wages are allocated to more than one local jurisdiction for tax purposes.

Compensation/Pay

The Compensation/Pay category includes detailed information about your standard pay rate. The pay Type (Salary or Hourly), Amount, Standard Hours, Standard OT Hours, OT Exempt, and Pay Frequency display in the upper portion of the screen.

Other Earnings and Compensation (for example, 401(k) Employer Match) display at the bottom of the tab. The Description, Type (how the item is calculated), Amount or % (flat dollar amount or percentage), and Frequency display for Other Earnings.

Other Earnings and Compensation may include informational items that do not typically affect net pay. Contact your payroll administrator for more information.

 

Deductions

The Deductions category contains all recurring deductions set up for an employee. The deduction Description, Type, Amount or %, Frequency, Balance (if applicable), and Bank account that any amount is deposited into displays.
