Recurring Earnings & Deductions Import Overview

Recurring Earnings and Deductions is one of the Standard Employee Data Import (SEDI) files. This import is used to bring in your employee’s pay components. Examples of pay components include:

The provided template, Template for Recurring Earnings & Deductions, dictates the fields that can be in the file and their correct header values. This file type can process in a flexible file layout. Columns in this file can be in any order and non-required columns can be left off entirely. The first row of the file must contain a header line identifying the column names the user would like to import. All column names must adhere to the column name provided in the specification sheet for this file type.

The pay component must be active in order to be used. An active pay component will have a start date that is less than or equal to the current date. There must be no end date for the pay component (or the end date must be greater than or equal to the current date). Pay components are considered to be future dated if the start date is after the current date.

If today's date is 1/1/16:

  • the start date of the pay component is 12/31/15 or prior

  • the end date is either omitted or after 1/1/16

For employees and independent contractors, the following information is required when adding or updating pay components:

You can add one or more active client level pay components to an existing employee. If an employee has multiple pay components, set up each one as a separate row of data. Only one custom pay component can be set up per employee with the same name and date range. If two pay components with the same custom name and dates are sent, the first component processes. The second component causes an error and does not process.

The pay component being added to the employee must exist at the client level. If you need to add a new type of client level pay component, please contact your Paychex representative prior to sending import data for the pay component.
